Events & Operations Manager
Location: Flexible / Remote (HQ in NYC)
Type: Full-time, W2 employee (40 hrs/week)

ROLE OVERVIEW
The Event and Operations Coordinator will lead the planning, execution, and evaluation of all Work for America events. Work for America produces a variety of events, such as:
Virtual and in-person events for people seeking jobs in state and local government, such as live hiring events; happy hours; and matchmaking sessions
Educational webinars featuring WFA research and other educational offerings, primarily for a government audience
WFA visits to our partner cities, typically 1-2 days including workshops and other programming with governments, meetings with key funders and partners, and video/photo content capture.
WFA-organized virtual and in-person partner convenings
In-person team retreats approximately once a quarter
Partner breakfasts and dinners
Additional event types as needed for new programming or marketing needs
This role will ensure events run smoothly, align with organizational goals, and provide high-quality experiences for participants. The Coordinator will also support operational systems that strengthen collaboration across teams.
KEY RESPONSIBILITIES
Event Management
Lead planning and execution for all WFA events, including external events (in-person and virtual) as well as internal team events.
Develop event planning materials such as planning timelines, workback schedules, and run-of-show documents.
Prepare all event materials (agendas, run-of-show, slide decks, name badges, signage, etc.); coordinate with WFA branding team as needed.
Oversee logistics for events, such as venue selection, catering, travel, lodging, vendor management, and tech.
Manage participant experience, including invitations, registration, confirmations, and follow-up communications.
Partner with communications and program teams to ensure event content, messaging, and marketing align with organizational goals.
Manage in-person and virtual event execution, ensuring smooth delivery and troubleshooting issues as they arise.
Track event expenses and reimbursements.
Collect, analyze, and report on event outcomes and participant feedback to continuously improve.
Operations & Cross-Team Support
Manage systems and tools for event registration, tracking, and communications.
Track and measure event outcomes and impact, including data, reporting, and metrics.
Support operational processes that ensure event alignment across teams.
Maintain databases and records related to participants, partners, and events.
Assist with internal workflows and logistics to improve team efficiency.
Contribute to special projects and process improvements as needed to strengthen WFA’s operations.
QUALIFICATIONS
Required
5–7 years of experience in event planning, operations, or project management.
Demonstrated ability to independently plan and execute complex events.
Strong project management skills, with the ability to manage multiple deadlines and stakeholders.
Strong organizational and time-management skills with excellent attention to detail.
Familiarity with hybrid, virtual, and in-person event production, including convenings, webinars, and workshops.
Proficiency with event management tools, especially large virtual events like Zoom meetings with many breakout rooms.
Comfort working in a fast-paced environment and adapting to shifting priorities.
Excellent written and verbal communication skills.
Ability to travel for in-person events (10–20%).

SALARY & BENEFITS
The salary for this role is $75,000-$85,000 plus benefits.
